About Team & Role 

This is a great time to join the Children and Families Commissioning Hub as we develop our friendly and supportive team. 

 

We are looking to recruit an administrator to support the Children and Families Commissioning Hub. The role is one of two that will be providing administrative support to the Hub. The role sits within a fast paced team of commissioning officers who are responsible for commissioning homes for children and Young People cared for by the Local Authority. The team also oversee's the contracts set up with providers to ensure Children and Young People are receiving positive care experiences. 

 

Your role would be to support the teams with a variety of administrative tasks to support commissioning processes including, administrating meetings, Provider Due Diligence, processing financial documents, and providing good customer service in person, on the telephone and via email.

 

Duties include: 

  • Monitoring generic mailboxes and responding to customer enquiries and service referrals via email and telephone.
  • Accurately creating and updating electronic records using spreadsheets and databases including Liquid Logic.
  • Preparing documents using Microsoft Word Updating spreadsheets using Excel 
  • Maintaining and updating the teams placements tracker with changes where needed, and with pace.  
  • Booking meetings using Microsoft Teams and our internal room booking system.
  • Supporting with production of minutes for panel meetings, team and service meetings.
  • Processing finance requests
  • A positive and flexible approach to team working to include providing cover for other administrators' leave and cross team support at peak work periods as required.

 

The role is based at Shire Hall in Gloucester. There will be an opportunity to hybrid work using GCC’s secure IT equipment. There is a requirement within the team for the post holder to work a proportion of their week in Shire Hall with colleagues. Agile working is subject to the needs of the service being met.

 

About You 

To be successful you will need excellent written and verbal communication skills, a high standard of IT skills with experience of using a wide range of systems and packages, and sound collaboration and organisational skills to enable you to work with colleagues to prioritise workloads and ensure that our statutory and departmental deadlines are met.  You will be customer-focused and able to build effective working relationships with colleagues, stakeholders, public sector services, and suppliers.  We would like applicants to be able to demonstrate a flexible approach with an ability to manage your workload to meet deadlines.  If you think that this is the role for you, we look forward to hearing from you.
