About the role:


The Exams Officer will ensure that Adult Education in Gloucestershire is compliant with the Awarding Body regulations and requirements to ensure the security and integrity of examinations/assessments at all times and ensure they are conducted in accordance with the regulations. The post holder will act on behalf of and be the main point of contact for the Centre in matters relating to the general administration of awarding body examinations and assessments at all stages of the exams cycle.


This is what we need you to do:

  • Manage arrangements to receive, check and store question papers and examination material safely and securely at all times in accordance with the regulations, including the secure storage and dispatch of examination scripts for marking
  • To liaise with Awarding Bodies as appropriate
  • To effectively and efficiently administer all examinations in line with Awarding Body rules at all stages of the exams cycle
  • To ensure accurate and timely administration of learners with the Awarding Body: exam entries, qualification claims and dissemination of results
  • To be responsible for the proactive planning of Exams schedules, communicating clear internal deadlines and processes for gathering/sharing exam-related information from/with relevant stakeholders
  • Maintain and develop systems to manage and coordinate all aspects of the exams administration process ensuring accurate records are maintained for candidate registrations, attendance and results on the MIS database
  • Train, update and support a team of invigilators ensuring compliancy in accordance with JCQ and Awarding Body regulations
  • Effectively manage the conduct of examinations in accordance with JCQ regulations and/or Awarding Body rules
  • Create, review and update Centre exam-related policies as required by the regulations to ensure compliant working practices
  • Support the Additional Learning Support Lead in implementing access arrangements or reasonable adjustments for eligible candidates for examinations
  • Be the point of contact for the Exams Centre in co-operating with the Awarding Body or a regulatory authority when subject to an inspection, an investigation or an unannounced visit
  • Administer the results and post-results services, and all report related activities in a timely and efficient manner
  • Support the Head of Exams Centre in investigating and reporting cases of suspected or actual malpractice in connection with an examination as required by Awarding Bodies.


The ideal candidate will have:

  • Working in an educational setting (e.g. schools, Further Education, Higher Education or Adult Education)
  • Experience of managing Examination processes
  • Experience of liaising with partners and learners
  • Experience of handling personal and sensitive data in accordance with the guidelines of GDPR
  • Proven experience of interpreting data and presenting reports in light of data and information
  • Experience using a Management Information System (MIS) within an education setting or equivalent.


Knowledge, Skills and Understanding:

  • High level general ICT skills including use of databases and web based technology
  • Understanding of Data Protection legislation and its implications
  • Very good understanding of the Awarding Body regulations
  • Ability to interpret and input data
  • Ability to produce clear and concise reports
  • Good written and verbal communication skills including report writing, using effective language to convey convincing ideas and arguments and the ability to simplify technical and complex information.

Education & Qualifications
Excellent levels of literacy and numeracy evidenced by GCSEs (A-C, 9 to 4, A Levels or equivalent)
Minimum of NVQ Level 3 or equivalent qualification.
